Our expansion for a satellite office in CDO brings us to a need for an efficient HR/ Administrative Associate which is a supportive role in our satellite office. He/She is responsible for managing and distributing information among branches, co-workers, answering queries, and doing other administrative work.

 

Responsibilities:

  • Answers and directs calls and inquiries from all media

  • Organizes and schedules appointments

  • Plans meetings and take detailed minutes

  • Writes all communication for approval prior to distribution

  • Assists in the preparation of regularly scheduled reports

  • Develops and maintains an organized filing system

  • Updates and maintains office policies and procedures

  • Orders office supplies and research new deals and suppliers

  • Maintains contact lists

  • Books travel arrangements

  • Submits and reconciles expense reports

  • Provides general support to visitors

  • Acts as the point of contact for internal and external clients as well as between branches

  • Liaises with executive and senior administrative assistants to handle requests and queries from senior managers

  • Oversees and audits implementation of policies

  • Represents HR, Admin and Accounting in all related tasks

Qualifications:

  • Proven experience as an Administrative Assistant, or Office Admin Assistant

  • Knowledge of office management systems and procedures

  • Working knowledge of office equipment, like printers and fax machines

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multi-task

  • Undegrads welcome but with commensurate related experience

  • Proven trustworthiness through solid references
