Job Description

 

An Administrative Assistant must provide support to managers, colleagues, and visitors. An Administrative Assistant must effectively communicate via email, telephone, or face-to-face enquiries. It is important that all the tasks below are understood and carried out diligently.

 

General Task and Expectations

  • Maximize software and tools provided with care

  • Communicate clearly over the phone, email or in-person

  • Maintain utmost confidentiality throughout the work

  • Ensure internal and external relations are maintained through professional and friendly rapport

Specific Tasks

  • Prepare transmittal for all documents to be endorsed for external job order

  • Provide administrative support to necessary departments

  • Receive, scan and forward monthly utility, rental bills to headquarters

  • Carry out administrative duties such as filing, typing, copying, binding, and scanning

  • Receive and forward documents and packages for the executives thru the executive assistant

  • Screening phone calls and routing callers to the appropriate party

  • Anticipate the needs of others in order to ensure their seamless and positive experience

  • Generate reports, store completed work in designated locations

  • Respond to queries for information and access relevant files

  • Transcribe information into the required electronic format

  • Coordinate with headquarters for employee appraisal,  new hires basic information

  • Update employee master list and tenureship

  • Maintain computer and manual filing systems

  • Provide initial resolutions to administrative problems

Qualifications

  • Excellent time management skills

  • Ability to multi-task

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills

  • Proficient in MS Office

  • Desire to be proactive and create a positive experience for others

  • Excellent computer skills

  • Knowledge on Windows and IOS systems

  • At least 1-2 years of experience
