EXECUTIVE ASSISTANT

 

Job Summary

 

Our company is searching for an experienced, reliable and task-oriented EXECUTIVE ASSISTANT. The EA will work directly with the executives and operations department, and will be responsible for performing a number of administrative and creative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

 

Duties and Responsibilities

 

Administrative:

  • Completes a broad variety of administrative tasks for the CEO including: managing an active calendar of appointments; completing necessary reports; composing and preparing correspondence that is sometimes confidential

  • Communicates directly, and on behalf of the Executive/CEO and COO, with department managers, clients, suppliers, and others related to CEO's current initiatives.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and COO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

  • Provides administrative support to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO and COO, some of which may have organizational impact.

Creatives:

  • Draft necessary documents.

  • Co-manage budget with Executive & regularly prepares expense reports.

  • Provide onsite support for events when necessary

  • Attend status meetings with tech for current events/projects

  • Continually keep up-to-date on live/virtual event technology, and capabilities to maintain basic know-how to assist clients during implementation particularly the software’s being used (e.g. Zoom webinars, etc.)

  • Act as a secondary point of contact in the instance that representative is not available and be able to speak to the current progression of the projects and any areas on concern

  • Coordinate multiple projects at one time, handling admin aspects of each event

  • Continually update internal staff on project status, open and unresolved issues

Qualifications:

  • Candidate must possess at least a Bachelor's/College Degree in Business Studies/Administration/Management. At least 1 year of working experience in the related field is required

  • Proficient in Microsoft Office Excel

  • Creativity, Innovative, Independent, Self-Starter, Adaptability, Client Relationships, Research, Critical Thinking, Analysis, Leadership, Public Speaking, Attention to Detail, Organization, Multi-Tasker

  • Excellent written and verbal communication skills

  • Ability to complete work with a high level of accuracy and attention to detail

  • Must have strong work ethics
