We are looking for an Executive Manager
  • Self-reliant, able to work without supervision
  • Minimum 5 years of experience as Executive Assistant / Virtual Assistant / Project Manager or similar role
  • Tech-savvy and can provide technical support whenever necessary
  • Understand how webinars work and have co-ordinated and facilitated webinars (or capable of learning the skill fast), including but not limited to
  • Familiarity of Zoom and GTW or GTM
  • Ability to research and liaise with support if any issues occur
  • Simulated Live webinars (automated live webinars)
  • Solid understanding and experience in CRMs, preferably in either or both: Ontraport and Infusionsoft
  • Strong communication (written/verbal), presentation, and analytical skills
  • Familiarity with WordPress
  • Ability to receive multiple instructions and manage tasks in a structured, efficient and orderly manner
  • A quick learner who is hungry to learn new things
  • Thrive in a fast-paced environment
  • Ability to recognize flaws in the system and not afraid to express their concerns, feedback, or suggestions to management
  • Outstanding at writing clear and detailed procedures, manuals, checklists, and documents
  • Strong organization skills and high attention to detail
  • Process-driven
  • Can-do attitude and experience working in a deadline-oriented environment
  • Flexible as an individual contributor and team-player
  • Takes ownership and accepts responsibility for work
  • Familiarity with software programs, time tracking, and learning the skills
  • Prefer managerial skills to manage a team but not essential
Administrative Support:
  • Creating Sales and Credit Card Report Weekly working with Financial Controller
  • Managing webinars, sales, and product KPIs
  • Able to track numbers of leads, registrants, webinar attendees, sales, website visitors, etc. and provide detailed reports to management
  • Create detailed excel spreadsheets which shows KPIs, numbers, and %s
  • Strong systematic researching skills
  • Organizing files and reports on Dropbox, Wistia, Membership Sites, websites, online training portal, and other platforms
  • Editing webinars in Movavi
  • Creating invoices and receipts for purchased products, tracking of all payments received
  • Following up debts from clients
  • Familiar with basics of Xero (or willing to learn)
  • Confident to create sales tracking systems
Customer Service, Campaigns & Engagement
  • Managing Customer support emails, responding to client queries, attending to their requests, and resolving any other technical issues they experience
  • Webinar management and scheduling
  • Creating start-end free webinar campaigns which include:
  • Landing pages (registration, buying, thank you)
  • Email scheduling and reminders
  • Attention to detail, double or triple-checking to ensure there are no errors
  • Sending/Scheduling/Broadcasting Emails (Opt-in Email, Welcome Email, Weekly Articles, Book Appointment, Feedback Emails, etc.)
  • Managing of WordPress membership site: Creating courses, topics, and classes on the membership site
  • Organising changes to membership site pursuant to instructions and providing suggestions to management to improve it
  • Assisting Key Performers: Assist salespeople and presenters with needs for classes, one on one, webinars, and join links or assist marketing staff with any other task concerning campaigns
