II. JOB DESCRIPTION
 
DUTIES AND RESPONSIBILITIES

I. Office maintenance
  • Ensures orderliness and cleanliness in the entire office by closely managing Utility/ Maintenance Staff
  • Makes sure that the following are executed properly: Delivery of water; maintenance of all air-conditioned units; and schedule of pest control
  • Coordinates with Bldg. Administrator to report and be assisted of building/office needs when necessary
  • Takes lead on office department relocation and renovation whenever applicable
  • Point person in reservation of the meeting room & or projector
  • Updates details on bulletin board such as: HR Memorandum/ announcement; Monthly birthday celebrants, Updates etc.
  • Coordinates with IT department for internet interruption and updates immediate head on the status
II. Employee’s and department’s requirements
  • Ensures availability and prepares office tools for newly hires
  • Monitors and safeguards company issued property thru employee acknowledgment form and company property tagging
  • In-charge in production and distribution of Company ID, Lanyard and Business Card
  • Monitors and distributes office supplies needed by each department
  • Assists in completion of requirements and processing of corporate credit card for eligible employees
  • Secures gate pass and/or building permit and coordinates with building admin for items needed to be delivered or pulled out in/from the office
III. Records management
  • Ensures that all employee records are updated and on file
  • Keeps company and HR memorandums/ advisories on file
  • Safe keeps company’s documents: SEC, GIS, FS, Business permit etc.
  • Safe keeps, monitors and renews company vehicle and motorcycle insurance
IV. Request for payment processing
  • Monitors and processes request for payment of: office rental, electricity, internet, printer rental, postpaid lines and among others
  • Prepares request for payment for monthly motor rental subsidy
V. Employee’s Requests
  • Prepares and facilitates processing of emergency Financial Assistance
  • Assists employee’s request for first aid medicine
VI. Employee Discipline
  • Gathers and validates data regarding incident reports for disciplinary action.
  • Drafts appropriate Notice to Explain for issuance to erring employees.
  • Conducts administrative hearings as may be required.
  • Drafts appropriate Notice of Decision, taking into consideration all documents and evidence gathered.
  • Implements and administer Disciplinary procedure in compliance with the company policy — cases
  • investigation.
VII. Exit Management
  • Provides clearance form and guides separated employees in routing the said form
  • Validates company issued properties of separated employees and ensures to be noted and deducted on employee’s final pay, if applicable
VIII. HR-Admin reports submission
  • HR-Admin Weekly Status report
  • Employee clearance tracker report
  • Request for payment processing monitoring
  • HR Memorandums tracker report
  • 201 Folders Monitoring report
  • Office maintenance checklist
