Roles and Responsibilities
The purpose of the Admin Support role is to assist with the Accounts Administrator in the administration, accounting and financial functions of Office Solutions IT in an accurate and timely manner. This position requires the incumbent to be detail-orientated who is skilled at juggling many competing priorities and stakeholders, completing tasks with a high degree of accuracy. Due to these demands, the role requires someone who works well under pressure, is a good problem solver and can provide excellent customer service. 
Tasks can include but are not limited to:

Accounts Payable
  • Ensure accurate data entry, supplier billing and payment of supplier invoices, as per expense/cost accounts on a weekly basis 
  • Daily processing of Purchase Order to be reviewed and approved
  • Weekly payables report for Accounts Support
  • Weekly email remittance advices to suppliers
  • Monthly reconciliation of supplier statements 
  • Monthly staff reimbursements 
Accounts Receivable 
  • Weekly ticket processing of the Accounts Receivable Board in ConnectWise 
  • Monthly invoicing – Agreement (approximately 400 invoices each month) 
  • Monthly project invoicing 
  • Monthly excluded services
  • Process credits
  • Daily review and invoice of Sales Orders
Accounts & Financials
  • Receive rebates
  • Process credit applications 
  • Produce monthly financial reports
  • Prepare KPI Report and PowerPoint each month
  • Produce monthly reports as required 
Administration / Other
  • Provide cover to the Receptionist of monitoring of the Scheduler and Business Service boards and action tickets when on leave or away from their desk 
  • Save all scanned invoices to supplier drive
  • Monitor Accounts inbox in Outlook; action and forward emails accordingly
  • Monitor contractor insurance certificates to ensure compliance
  • Miscellaneous reports as requested such a monthly TPS reports
  • Ad hoc administrative tasks as directed by the Accounts Administrator or Accounts Support
  • Meeting Key Performance Indicators including Zero errors in accuracy of data entered into Xero and other deadlines as specified above 
Candidate Requirements
  • A minimum of 2 years’ experience in an administration role
  • Australian accounting experience highly desirable 
  • Previous use of Xero
  • Excellent attention to detail and accuracy 
  • Experience in high volume data entry to meet internal deadlines and cut off points 
  • Intermediate level of competency using MS Office suite, namely Excel, Word and Outlook 
  • Understanding of and ability to, interpret relevant legislation and accounting guidelines 
  • Ability to work independently and take responsibility for own work 
  • Ability to manage conflicting priorities 
  • Professional and confident verbal and written communication skills 
  • Positive and resilient attitude 
  • High level of professionalism and understanding of need for confidentiality
