Qavalo Inc. has an immediate need for a bright, energetic, and motivated Executive Assistant to support the CEO of a high-growth, tech-enabled healthcare offshoring startup. The Executive Assistant will carry out daily administrative tasks, errands, and special projects in response to the changing needs of the office of the Executive. He/She will also be representing the CEO in certain capacities. There is strong potential for this role to grow into a project management scope in emerging verticals of the company or other potential concepts. The EA must be detail-oriented, low-key, and extremely organized with an eye to increasing efficiency across the board—in short, the EA should be steps ahead of everyone else on the team. 
This is a full-time, mid-level role with excellent growth potential that comes with plenty of room for learning and mentor-ship, particularly for the entrepreneur-inclined. The Executive Assistant will have the opportunity to interface and liaise with the Workforce Management team, as well as alongside staff at all levels across all departments.
Roles & Responsibilities
  • Schedule management, maintenance and communication to appropriate stakeholders, including personal, work, and familial obligations, ensuring all trains are running smoothly
  • Special project management 
  • Making business and personal appointments
  • Ongoing coordination between work and personal teams, with some oversight required of the latter to ensure a fully streamlined and efficient work/life continuum
  • Act as both “gatekeeper” and “gateway” facilitating, streamlining, and prioritizing important meetings and obligations
  • Gift buying, preparation of personal correspondence
  • Informs the CEO on daily schedule about upcoming commitments and relevant office issues
  • Provide administrative support with a variety of daily and ad hoc tasks as assigned
  • Assist in the organization and management of contacts, reports, travel documents, and other confidential and/or sensitive information
  • Professional and personal errands as needed by CEO
Skills & Qualifications
  • Bachelor’s degree required
  • Atleast 1 year relevant experience
  • Highly organized with strong multi-tasking and prioritization skills
  • Proactive, with the ability to self-manage and work independently
  • Strong communication skills, both verbal and written
  • Poise, professionalism, and good judgment
  • Able to operate with flexibility, agility and integrity 
  • Maintain a no-job-too-big-or-small, do-whatever-it-takes attitude
