Need Ink started as an ink refilling station and opened its 1st outlet on October 2003 at GMC Arcade Pajo Lapu Lapu City. After 3 months, the 2nd outlet was opened on January 2004 at N&N Arcade, Mandaue City.

Job Description:
 
The Branch Administration Personnel is responsible for maintaining day to day administrative and personnel services in order to meet company requirements and support office operations.
 
The Branch Admin Personnel reports to the Admin & Finance Manager and is responsible for branch personnel administration, maintaining accounts receivable and managing office operations. The Administration Officer must work within policies and procedures.
 
Main Purpose of job:
 
To be responsible for the efficient organization of the branch office providing
administrative support for the branch services.
 
Duties and key responsibilities:
  • Being responsible for the day-to-day administration of the branch office, including dealing appropriately with any correspondence, photocopying, stationery orders and other routine administrative tasks.
  • Responding to enquiries to the branch office made by personal callers, e-mail, letter or telephone and to refer these to other branch support services or other sources where necessary.
  • Developing and maintaining an efficient filing and information system for the branch, to include recording statistical data, membership database and resources such as publications, videos and information/advice sheets.
  • Publicising and promoting branch services, events and fundraising activities. This may require some out of hours working on occasion.
  • Liaising and working with committee members, volunteers, the Area office and the Society’s national office as appropriate.
  • Liaising with branch staff and provide administrative support as required.
  • Organising meetings as required, producing notes, distributing relevant documentation.
  • Undertaking appropriate training held locally, nationally and regionally and attending occasional regional and national meetings as appropriate.
Duties and Responsibilities:
  • Oversee the accounts receivable in order to ensure complete and accurate records.
    • Main Activities
      • Ensure the safeguarding of all company funds
      • Reconcile the accounts receivable
      • Reconcile daily deposits
      • Manage distribution of utilities bills and collections of accounts
      • Maintain the leave management
  • Supervise administrative services including branches
    • Main Activities
      • Manage the filing, storage and security of documents
      • Respond to personnel inquiries
    • Manage the repair and maintenance of computer and office equipment
  • Perform other related duties as required

    • Computerized accounting programs
    • Accounts payable and accounts receivables
    • Generally accepted accounting principles (GAAP)
    • Preparation of financial statements
